2. About Us

As part of our service, we provide the Eased UP Platform (Platform) to support the development of educational resources to educational professionals (Educators).


The Platform does this through:

  1. we, our or us – we mean EdUP Solutions Pty Ltd (ACN 679 333 594)

  2. our services – we mean the provision of the Platform to you as an Educator and related services that we provide.

  3. you – we mean you, the reader of this policy.

  4. your information – we mean your personal information that you may share with us.

  5. privacy laws – we mean all privacy and data protection laws that apply to us when we handle your information, including applicable health information laws.


3. What Information Do We Collect?

We collect information you provide and data gathered automatically to operate, improve, and secure our Services, though limiting what you share may affect access.


So that we can provide you with our Platform, we may need to collect information from you or about your use of our Services as described below. This information includes your name, email address, and other identifiers related to resource creation, such as region. We use this data to:

  1. share new features or opportunities with you,

  2. notify you of changes to our Terms of Service and Privacy Policy, and

  3. provide Services to you related to resource creation, such as appropriate curriculum and language preference.

Please be aware that you can choose whether to provide us with the types of information described below, but your choices may affect our ability to offer you part of or all of our Services. If you do not provide us with the information we request, we may not be able to supply you with all or part of our Services. Any information that we do not require you to supply is information that you provide to us voluntarily.

3.1 Information You Provide To Us

We collect information you provide to us, including, but not limited to:

  1. Registration information
    By registering with our Services, you authorise us to collect any information that you make available to us when accessing or using our Services. We collect information about you including your first and last name, email address, school name, curriculum, learning and subject areas, and year level.

  2. Uploaded content
    You may upload documents, images, videos, or other media to our system as part of your use of our Services. We collect and store these files to facilitate their intended use, such as creating presentations, assignments, or lesson materials.

  3. Third-party information
    We receive your name and email from Kinde to authorise your use of our Services. Additionally, if you connect your Google account, we will access information to create new documents and write content within them.

  4. Communications with us
    When you communicate with us in any way we will collect your contact information and any other information you may choose to provide to us.

3.2 Information We Collect From You

We also collect information about you passively when you use or access our Services. We will combine this information with information you give to us and information we collect from you. For example, we collect information which may include, but is not limited to:

  1. Cookies and similar tracking technologies
    We use both first-party and third-party cookies, and similar tracking technologies on our Services. A cookie is a small data file that is stored on your device and collects information, such as your IP address or information about your use of or your activities on our Services.

  2. Log data
    We collect log data about your use of our Services, which may include your IP address, data, and time of your access or use of our Services, page views, the referring URLs, and any other information about your activities on our Services.

  3. Third-party plugin
    We may integrate third-party plugins into our Services and the use of such third-party plugins results in data collection by us and the relevant third-party.

    When you use or access our Services, we may collect information such as search terms, interactions with other users, and any other activities on our Services.

    When you interact with our sites, Platform, services, content and advertising or use our Platform or services.


5. How Do We Use And Disclose Your Information?

We use your personal information to enable us to deliver and improve our products and services.


The purpose of Eased UP is to support educators with curriculum planning tasks.


We may use and disclose Information for the primary purpose for which it is collected, for reasonable secondary purposes which are related to the primary purpose, and in other circumstances authorised by the Privacy Act.

5.1 General Uses

In general, we use and disclose your Information to:

  1. Access
    To enable you to access and use our platform, tools, and services for planning, resource creation, and administrative support.

  2. Improvement
    To design, enhance, and manage our platform, ensuring it effectively supports educators in planning, teaching, and administrative tasks. This includes performing analytics, gathering feedback, and refining features to improve your experience.

  3. Educational Data Processing
    To facilitate lesson planning, curriculum alignment, and resource organisation. For example, your preferences, saved resources, and lesson structures may be collected and used to enhance platform functionality and streamline your workflow.

  4. De-identified Information for Platform Functions and Improvement
    We may de-identify and/or aggregate your data to develop and enhance platform features that support educators. This may include improving AI-assisted recommendations, collaboration tools, and administrative automation.
    For clarity, this does not include using any identifiable student or teacher data to train, develop, or improve AI models.

  5. Support
    To send you service updates, technical support, reminders, security alerts, and any information you request regarding the platform's functionality and your account.

  6. Contact
    To reach out when there are important updates about the platform, service enhancements, or changes that may impact your use of the tool.

  7. Marketing
    To provide you with relevant insights, professional development opportunities, and educational resources that may support your teaching and planning.

  8. Compliance
    To comply with legal requirements and assist educational authorities or government agencies where required and authorised.

5.2 Sharing with Third Parties

We may share your information with the following categories of third-party service providers who assist us in providing our services:

  1. Cloud Storage: Amazon Web Services (AWS)

  2. Database: Supabase

  3. AI Assistance: OpenAI and Google Gemini

  4. Email Marketing: MailerLite

  5. Authentication: Kinde

  6. Payment Processing: Stripe

We ensure that these third parties have appropriate safeguards in place to protect your information and are contractually obligated to use it only for the purposes we specify. We will never sell your personal information.


6. How Do We Use Your Personal Information For Marketing, And How Do You Opt Out?

You can opt-out at any time from our marketing communications.


We may send you direct marketing communications and information about our services or products. This may take the form of emails or other forms of communication. We'll always conduct our marketing practices in accordance with privacy laws and other applicable laws.


If we do send you marketing messages using your information, you'll be able to opt out at any time – either by using the unsubscribe facility in the relevant message or by contacting us (it's easy – see section 1).


We may also market our services to you generally – including via social media, advertising through our website and other digital or non-digital platforms. We'll always do this in accordance with our legal requirements.


Without your consent, we will not:

  1. use any of your educational information to send you marketing communications; or

  2. disclose any of your information to a third-party in order for them to market to you.

We may share your personal information with our other partners and for other reasons we tell you about in this policy, on our website, on our Platform or where we otherwise communicate this to you.


We may share your personal information with:

  1. our employees and related companies;

  2. third-party suppliers and service providers (including providers for the operation of our Platform, websites and/or our business);

  3. payment systems operators (eg, merchants receiving card payments);

  4. anyone to whom our assets or businesses (or any part of them) are transferred;

  5. specific third parties authorised by you to receive information held by us;

  6. other persons, including government agencies, regulatory bodies and law enforcement agencies, or as required, authorised or permitted by law; and/or

  7. there is an immediate or imminent risk of serious harm to you, a third-party, and/or the general public.


8. Using Our Website And Platform

We use cookies on our website to track your website usage and remember your preferences.


Our website includes pages that use cookies which are small files that store information on your computer, mobile phone or other device. We may use them to recognise you across devices and browsing sessions.


You can configure your internet browser to accept all cookies, reject all cookies or notify you when a cookie is sent. If you refuse the use of cookies in this way you may not be able to access the full functionality of our website. Please refer to your internet browser's instructions or help screens to learn more about these functions.


We may also use third-party analytics tools to help us gather and analyse information about your use of our website and Platform. These tools assist us in understanding usage patterns, improving user experience, and optimising the performance of our services. For the avoidance of doubt, no sensitive information is shared with or transmitted to third-party analytics tools for these purposes. Any information collected through these tools is limited to non-sensitive data.


9. How Do We Protect Your Information?

We take a number of measures to keep your information safe.


We take reasonable steps to protect your Information from unauthorised access, theft, modification and disclosure. The protective steps we take include:

  1. security and confidentiality requirements of our employees, contractors and external parties;

  2. restricting access to Information to users who have a need to use the Information;

  3. deletion, destruction or de-identification of Information where it is no longer relevant to us.

  4. We retain your personal information for the length of time needed to fulfil the purposes outlined in this privacy policy unless a longer retention period is required or permitted by law.

We have taken all reasonable steps to keep your Information secure including compliance with the Notifiable Data Breaches requirements under the Privacy Act.


10. Google Drive And Microsoft Onedrive Integration

Eased UP offers the ability to export your content to Google Drive (Docs and Slides) and Microsoft OneDrive (Word and PowerPoint). To enable this, you must connect your respective accounts, granting Eased UP permission to create new files and write data to those files only for the purpose of exporting your content. Specifically, Eased UP requests permission to create new files and write data to those files. Eased UP will not access, view, or modify any other files or folders in your Google Drive or Microsoft OneDrive. You are responsible for managing these permissions and acknowledge the respective platform's Terms of Service and Privacy Policy when connecting your accounts.


When you export a resource, your resource content is sent to Google/Microsoft to be converted into the relevant document. While we strive to maintain consistent formatting, some minor differences may occur due to variations between platforms. We suggest checking consistency and accuracy. Eased UP does not have access to your exported content; the exported content resides solely within your connected platform. Changes made to a resource in our Platform will not be reflected in an exported Google or Microsoft file and vice versa.


Our integration with these platforms complies with their respective API Terms of Service.


11. Data Retention

We retain your personal information for as long as necessary to fulfill the purposes for which it was collected, including providing you with our services, complying with legal obligations, and resolving disputes.

  1. User Content
    User-generated content will be retained for as long as your account is active. Upon account deletion, we will make reasonable efforts to delete your content, but some residual copies may remain in our backup systems for a limited time, likely no longer than 30 days.

  2. Account Information
    We retain your account information (name, email, etc.) for as long as your account is active. After account deletion, we may retain some information for up to 7 years to comply with legal obligations, resolve disputes, or enforce our agreements.

  3. Marketing Data
    If you have consented to receive marketing communications, we will retain your contact information until you unsubscribe.

  4. Log Data
    We retain log data (IP address, access times, etc.) for a limited period, typically up to 90 days, for security and analytics purposes.

We will securely delete or anonymise your information when it is no longer needed.


12. What Are Your Rights In Relation To Your Information?

You have rights in relation to your personal information. You can contact us to exercise any of your rights in relation to your information.


Here are the things you can ask us to do in relation to your information at any time while you use our website, Platform or other services:

  1. Access
    You can request access to the personal information we hold about you.

  2. Rectification
    You can request that we correct any inaccuracies in your personal information.

  3. Erasure ("right to be forgotten")
    You can request that we delete your personal information under certain circumstances (e.g., if it is no longer needed for the purposes for which it was collected).

    You can request to receive your personal information in a structured, commonly used, and machine-readable format.

  5. Objection
    You can object to the processing of your personal information for certain purposes (e.g., marketing).

  6. Withdrawal of Consent
    You can withdraw your consent to the processing of your personal information at any time.

When you contact us regarding a request for access, correction, erasure, or to make a complaint, or if you wish to object to processing, withdraw consent, or request data portability, please include your name and contact details (such as email address and phone number) and clearly describe your request. We are committed to addressing your inquiries promptly and will acknowledge receipt of your correspondence swiftly. We aim to formally respond to all requests within 30 days. If we are unable to fulfill your request due to legal or other reasons, we will explain why. Verification of your identity may be required to protect your information and ensure it is not disclosed improperly.


If you are not satisfied with how we handle your query or manage your information, including our response to your requests, you have the right to lodge a complaint with your relevant Information Commissioner's Office.
